The Document Controller’s role creates (process, format, and templates), maintains, oversees and keeps up to date records for this department.

Additionally, in this position you will:

  • Controlling the flow of documents in and out of the department to include scanning to Vale’s Document Drawing System (JDMS), distribute, post and organize documents, check compliance and quality of documents, filing and archiving relevant documentation.
  • Maintain Document Repository, list, and register of all the documents. Ensure the PS&S File Folder Structure is maintained. Send all Final records to Vale Records Department
  • Have a basic understanding of construction projects and documentation management. Educate others on records management procedures.
  • Prepare, take minutes, finalize, coordinate attachments, post and distribute meeting minutes for various meeting as required.
  • Timely communication of status, issues, and next steps to all stakeholders. The incumbent will become the first line of contact for document control issues.
  • Assist Team with documents related to Audits.
  • Track Contractor hours, updates PMP Metrics, assist with Monthly reporting (VES, Variances,) and other miscellaneous administrative duties as assigned.

Qualifications and Specific Skills:

Education: University or Community College Graduate in Business or Accounting or other associated         discipline. Consideration will be given to candidates with business or accounting related courses.

Experience: Minimum of 12 months of relevant experience in an Office or Business Administration role, or in Project Document Control.

Computer Skills: Comprehensive knowledge and experience using various internal Vale systems such as: SAP (Maintenance, Project, IBS and Requisitions to Pay, Service entry sheets). Must possess strong keyboarding skills and advanced software skills in Microsoft Office (Excel, Word, PowerPoint, Outlook, and Visio). Must be proficient in Adobe Pro and/or PDF exchange.
